Frequently Asked Smart Questions

Short answers up front. Details when you need them. Built for legal, security, and real-world teams.

Product & Fit

Is VidiLex just transcription software? Short answer: No. Transcription is only the starting point — VidiLex turns video into structured, searchable knowledge.
Product Enablement

Assumption check: If you only need raw transcripts, VidiLex is likely more than you need.

Deep answer: VidiLex adds chapters, summaries, speaker identification, semantic search, and question answering with citations and timestamps. Users don't "look through video" — they search and jump directly to the relevant moment.

How is this different from an LMS or a wiki? Short answer: LMS and wikis are text-first. VidiLex is video-first and makes video content searchable and "askable."
Ops Training

Deep answer: With an LMS, users typically browse modules. With a wiki, they search text. With VidiLex, users search inside videos, navigate via chapters, and ask questions to get cited answers with timestamps.

Who is VidiLex not a good fit for? Short answer: If you only need transcription, want a public video platform, or want consumer pricing, VidiLex isn't the right tool.
Buyers

Assumption check: VidiLex is built for organizations that treat video as knowledge infrastructure — not as public content distribution.

Deep answer: VidiLex is designed for training, onboarding, knowledge retention, and customer education in controlled environments, with governance, security, and scale built in.

Security & Data Protection

Where is our data hosted? Short answer: Data residency: EU-hosted. Customer data is stored and processed in the EU by default. Available worldwide. EU-grade privacy by default.
Legal Procurement

Deep answer: EU data residency is a standard operating condition for VidiLex. No unnecessary cross-border data transfers are required for normal operation.

Is VidiLex GDPR-compliant? Short answer: Yes. VidiLex is built with a GDPR-first architecture and supports deletion and access requirements.
DPO Compliance

Deep answer: VidiLex supports data subject rights such as access and deletion, enforces account/workspace isolation, and processes customer data solely to provide the service. Customer data is never used to train AI models.

Is our data used to train AI models? Short answer: No. Customer data is not used for model training.
Security

Deep answer: VidiLex processes customer data only to deliver the platform functionality. Customer data is not used to train or improve models.

Is our data stored by third-party AI providers? Short answer: No. AI processing follows a zero-day retention policy with third-party providers.
Security Procurement

Deep answer: For transcription and RAG requests, data is transmitted only for the duration of processing. Third-party AI providers apply zero-day retention and do not store or reuse customer data for training.

AI & Digital Sovereignty

Which AI models do you use? Short answer: VidiLex uses European endpoints for transcription and European-hosted models (including Mistral) for knowledge retrieval.
Engineering Security

Deep answer: Model selection and governance are managed by VidiLex to ensure predictable behavior, EU hosting, and compliance-friendly operation. Customers do not need to manage model configuration to meet sovereignty requirements.

What does "digital sovereignty" mean in VidiLex? Short answer: Data hosting, processing, and AI workloads operate under European control and jurisdiction.
Public Sector Regulated

Deep answer: VidiLex is hosted and operated in Europe, uses European endpoints for transcription, and European-hosted models for RAG. This reduces dependency on US-only infrastructure and supports procurement and compliance requirements.

SaaS & Customer Academies

Can our customers access VidiLex directly? Short answer: Yes. Many SaaS companies provide one workspace per customer as a Customer Academy.
SaaS Founders

Deep answer: VidiLex supports multi-workspace setups with strict isolation. Customers can be invited into their workspace to search training videos and ask questions with cited, timestamped answers.

Do we pay per user? Short answer: No. Plans include unlimited registered users (fair use).
Finance

Deep answer: Pricing is protected via concurrency and usage limits rather than per-seat pricing, which makes it practical for customer education and internal rollouts.

Pricing & Limits

What is a "concurrent active user"? Short answer: A user actively interacting with VidiLex at the same time (watching, searching, or chatting).
Ops Procurement

Deep answer: This differs from total registered users. Concurrency limits protect reliability during peak usage, while still allowing you to invite unlimited users under fair use.

What happens if we reach a plan limit? Short answer: VidiLex applies soft limits: queuing, throttling, and clear UI feedback.
Admins

Deep answer: When usage spikes, requests may be queued temporarily and users see "please wait" messaging. Long-term sustained usage typically indicates it's time to upgrade for dedicated capacity.

Can we start small and upgrade later? Short answer: Yes. Many teams start with Business or Professional and upgrade as usage grows.
Founders Team Leads

Deep answer: Upgrades are typically driven by higher concurrency, more processing capacity, more storage, or multi-workspace requirements for customers or departments.

Public Sector

Is VidiLex suitable for public sector organizations? Short answer: Yes. Data residency: EU-hosted, designed for GDPR, and supports sovereignty requirements. Available worldwide. EU-grade privacy by default.
Public Sector

Deep answer: For public sector and regulated organizations, Enterprise (Sovereign) plans support custom contractual requirements, procurement-friendly terms, and optional dedicated or isolated environments.

Do you offer custom deployments? Short answer: Yes, for Enterprise (Sovereign) requirements.
IT Procurement

Deep answer: If your organization needs dedicated infrastructure, special contractual terms, or additional governance guarantees, we'll define the right setup during procurement and security review.
